Book Fest Vendor Information

  1. This is a family-oriented event open to the public. There is no cost for the public to attend.

  2. Southern Willow Publishing’s Annual Indie Book Fest will be held at Central Georgia Technical College. This will be the largest event we have ever done. There will be on-site security, vendors, and authors of all genres.

  3. No alcoholic beverages can be sold out of your booth at any time.

  4. A confirmation of all menu items must be provided along with notice of acceptance prior to the event. Vendors must agree to only sell approved menu items.

  5. Food & Beverage vendors must provide sufficient trash receptacles for their waste.

  6. Set up time begins at noon. Everything must be in place prior to the event’s start time of 2PM. Vendors may not begin to tear down until the end of the event at 6PM. All vendor booths must be completely down by 8PM. All displays must be in place no later than thirty minutes prior to the beginning of the event.

  7. Vendors are responsible for any and all necessary licensing for their products offered.

  8. The festival is being held rain or shine.

  9. No pets allowed.

  10. All vendors must treat all event participants and customers with respect.

  11. Southern Willow Publishing reserves the right to ask a vendor to remove themselves from the festival and/or not return if these rules and regulations are not followed.

  12. Vendors are responsible for conducting their own sales. It is your responsibility to collect and report sales tax.

  13. Upon acceptance, food vendors must supply a certificate of insurance and current food handler’s permit/business license.

  14. Vendors must display a sign at the festival listing approved food items and prices, along with their company name. (Homemade signs are acceptable.)

  15. Applications will be accepted on a first- come, first-served basis. Applications will be reviewed within 48 hours. Please check your email for a decision. If approved, an invoice will be sent to your email. Payment required within 72 hours to secure the spot. All sales are final.

  16. Southern Willow Publishing and Central Georgia Technical College will provide all tables and chairs for the event. Vendors are responsible for all equipment, products, advertising, promotional tools, etc.

  17. Two chairs will be supplied for each table. Exhibitors may bring their own table coverings. Advertising, signs, and banners may only be placed on tabletops if they do not exceed 2 feet, or taped to the front of the table. If assigned to a table against a wall, posters may be mounted there (without damage to the wall).

  18. Vendors will cover all costs associated with travel, lodging, meals, shipping costs, sales, business licensing fees, tax remittance and any/all other costs associated with participating in the Indie Book Fest.

  19. Vendors, feel free to hold your own drawings and giveaways at your table to be held throughout the day to increase visibility.

  20. Vendors are encouraged to promote their participation via social media platforms and other marketing strategies. SWP will advertise online, via social media, on the radio, in local newspapers, and via local news stations.
